StewardTrack gives you two ways to bring new members into the system digitally: member invitations and QR registration. Here is when to use each one.
QR Registration: For Sunday Visitors and Events
QR registration is designed for in-person moments. You print or display a QR code at the welcome desk, during a membership class, or at a special event. When someone scans it, they fill out a short form on their phone with their name, contact number, and a few basic details.
This information flows immediately into StewardTrack as a new member record โ no manual encoding required. The welcome team can see new registrations in real time and approach the person before the service ends.
For large churches in Manila or Quezon City doing high-volume Sunday services, this replaces the paper visitor card entirely.
Member Invitations: For Existing Contacts
Member invitations work differently. You send a personalized invitation link to someone via email or SMS. They click the link, confirm their details, and their record is automatically created or updated in StewardTrack.
This is useful when you have an existing list of contacts you want to formally onboard as members, when a transfer member from another church needs to be added to your database, or when you want to invite cell group participants to formally register as church members.
Connecting Registration to the Member Record
Once a person registers โ whether via QR or invitation โ they become a full member record in StewardTrack. You can then add them to a household, assign them to a ministry, start a discipleship plan, or schedule a care plan follow-up.
The registration moment is the beginning of a relationship, not the end of an admin process.
